Speed up customer service with Document management

The fast paced world of business requires you to move with it and keep up with the demands of customers who want everything immediately. This means that everything in your office must (if possible) be automated in order for your staff to act swiftly and efficiently.

One of the aspects of your business that you need to invest in to improve processes is document management. Manual ranking and filing of paper documents is time consuming and many business these days invest in electronic document management to help them efficiently manage their files and in turn act on customer demands speedily.

Electronic document management systems, such as those provided by Invu, is not only about instantly retrieving information but it also allows you to text search the actual body of a document together with the title. And what’s even better about it is that it actually highlights the search terms you need so you can go directly to the information you want-therefore saving time spent searching for documents especially when your in a hurry.

Solution makes KnowledgeTree documents accessible from within SugarCRM

RALEIGH, NC — December 9, 2009 — KnowledgeTree®, an Enterprise Content Management (ECM) provider focusing on affordable document management software, SugarCRM, the world's leading provider of open source customer relationship management (CRM) software, and iNet Process, a European provider of ECM and CRM services, today announced the commercial release of iNetDocs, an application that enables seamless integration between KnowledgeTree and SugarCRM.

With iNetDocs, documents and folders in the KnowledgeTree repository can be searched, browsed and retrieved from within SugarCRM and attached to all of the main modules within the CRM application, including leads, opportunities, contacts and accounts. A tab in the SugarCRM interface acts as a window directly into the repository.

According to Lionel Fernandes, manager at iNet Process, “iNetDocs turns SugarCRM into a complete workspace for the busy CRM professional. It is now possible to conduct most of the day’s work without ever leaving the SugarCRM application. This integration ensures greater collaboration and compliance by incorporating document access and control right into CRM business processes.”

CMIS and SharePoint 2010 details are hard to find

Bryan's picture

One would think it should not be so difficult to find information about the upcoming SharePoint 2010 and the features it will include. I have been especially interested in SharePoint and its inclusion of CMIS (Content Management Interoperability Services). CMIS is an interoperability specification that will allow for compliant clients (such as Joomla! and Drupal) and repositories (such as SharePoint and Alfresco) to interoperate and share content across information silos. For the past few months, I've been keeping my eyes and ears open for any details on the status of Microsoft Sharepoint incorporating CMIS. Sadly, there is little information to be found.

Although Microsoft announced their support for CMIS in September 2008, there has been little word from Microsoft on when we'll see CMIS available for SharePoint users and whether CMIS will be incorporated into SharePoint 2010. Arbindo Chattopadhyay on his MSDN blog recently discussed the benefits of CMIS, but he was very tight lipped whether we'll be seeing CMIS in SharePoint 2010. In fact he doesn't think we'll be hearing much about CMIS in SharePoint until CMIS is out of draft form.

The ECM landscape improves with Alfresco Community Edition 3.2

Bryan's picture

There is a real fear out there. A fear involving companies commercially supporting open source software and neglecting the "free" community version of their software. Fortunately for us, when looking for proof of this fear Alfresco is in the wrong direction to look. Alfresco Community Edition 3.2 brings so many new capabilities and improvements to the table that you can almost see the enterprise content management landscape brighten up.

Alfresco Community Edition logo“Lean times call for a lean, robust and inexpensive ECM system. Alfresco Community Edition 3.2 has been designed to reduce the cost of information handling while supporting corporate Governance, Risk and Compliance (GRC) Management,” said John Newton, CTO, Alfresco Software. “Our aim has been to deliver a content services environment in which users can work the way they want, with the tools they want, enhancing productivity through workforce mobility and future proofing organizations’ content applications with CMIS.”

CMIS is an interoperability standard that will allow for compliant clients (such as Joomla! and Drupal) and repositories (such as SharePoint and Alfresco) to interoperate and share content across information silos. There are a lot of companies claiming to support interoperability, but it has been my observation that Alfresco is well ahead of the game when it comes to CMIS. Do a Google search for CMIS and you'll find Alfresco comes on top more often than not.

Drupal, meet Alfresco

Bryan's picture

Dries Buytaert announced on his blog that a set of Drupal modules are available for integrating Drupal with Alfresco.

Alfresco and Optaros, in conjunction with Acquia, have made available a set of Drupal modules that integrate Drupal with Alfresco using the CMIS APIs. See the CMIS module and the CMIS Alfresco module on drupal.org.

As mentioned by Dries and Jeff Potts, this is a big deal for enterprise users who need access to a document/asset management system outside of Drupal.  The CMIS API is "vendor neutral" allowing for a path to integrate not only Drupal with Alfresco but other CMIS-compliant repositories.  As a Drupal fan who has been making efforts to introducing Drupal in the workplace, I find this news very exciting!

A lot of organizations like what they see in Drupal and do consider it as an option for use on their Intranet.  But these same organizations also have operational and administrative requirements for utilizing document management systems outside a Web CMS.  Even at my own workplace I have ran into roadblocks implementing Drupal on bigger projects due to our document and file management needs.
